Engraving & Contracted Retail Promotions Booking

This information is for ENGRAVING WITHIN OUR TULSA Area STUDIO, and FOR CLIENTS RESIDING INSIDE THE Tulsa & Surrounding METRO AREAS.

1. LARGE QUANTITY ORDERS:

Contact Diadem, Inc. for special quotations.

2. PRICES:

Hand-engraving charges are listed under separate cover. We reserve the right to withdraw or change the price of engraving on any item. You will receive a verbal notification of any changes.

3. PRODUCTION TIME:

24-48 hour turn-around time for average orders, (under 12 units), dependant on complexity of design and type of media to be engraved.

4. RUSH CHARGES:

Applicable only when a 6-hour window is given. (i.e: retail sale at 10am needs item engraved by close of business on the same day). A $ 25 charge will be applied to order for special pick up & delivery. This is only for local service, it does not apply to internet sales.

5. TAXES:

Customer is liable for any and all federal, state and local taxes. Tax number and certificate must be supplied for any exemptions.

6. CREDIT INFORMATION:

All orders are C.O.D. for engraving orders on customer stock. ON SPECIAL ORDER ITEMS such as custom-made jewelry, ostrich or rhea eggs, a 60% nonrefundable deposit, (applied to retail value of order), is required.

7. ON-SITE ENGRAVING FOR LOCAL RETAIL PROMOTIONAL EVENTS: 20 DAYS PRIOR

FOR EVENTS BOOKED 20 DAYS PRIOR TO ACTUAL EVENT, a non-refundable 50% BOOKING FEE is required. Terms for in-store and on-site engraving are at a rate of $ 95 per hour with a 4-hour minimum. ($190 pre-pay non-refundable* deposit required for booking a 4-hour event; $ 285 non-refundable* deposit for a 6-hour event). These rates apply for the Tulsa, OK and surrounding metro areas. Contact our offices to see if you are within demographic guidelines. *** Additional time is billed in 15 minute increments @ $25.75 per 15 minutes

8. ON-SITE ENGRAVING FOR LOCAL RETAIL PROMOTIONAL EVENTS: 30 DAYS PRIOR

FOR EVENTS BOOKED 30 DAYS PRIOR TO ACTUAL EVENT, a non-refundable 25% BOOKING FEE is required. Terms for instore and on-site engraving are at a rate of $ 95 per hour with a 4-hour minimum. ($ 95 pre-pay non-refundable* deposit required for booking a 4-hour event; $ 142.50 non-refundable* deposit for a 6-hour event). These rates apply for the Tulsa, OK and surrounding metro areas. Contact our offices to see if you are within demographic guidelines. All balances are COD from petty cash immediately following each days event. . Back-to-back weekend rates are negotiable at the time of booking. *** Additional time is billed in 15 minute increments @ $25.75 per 15 minutes *NOTE: ALL DEPOSITS MUST BE RECEIVED 7 DAYS PRIOR TO ENGRAVING EVENT, unless otherwise indicated, and are non-refundable. In the unlikely event that BUCHHOLZ ENGRAVING is not able to fulfill a commitment, due to illness or other unavoidable conflict, your deposit will be returned to you, a 20% discount will be applied to your next booking event and we will make every reasonable effort to find a replacement engraver, but cannot guarantee availability or rates as stated in this Agreement. We will provide you with resources, if  they are available to us, but cannot guarantee the quality of workmanship or reliability of outside sources. In such a case, Buchholz Engraving or DIADEM, Inc., having made reasonable efforts to accommodate, you agree that we cannot be held liable for services rendered from your choice of independent vendors.

9. ON-SITE ENGRAVING FOR PROMOTIONAL EVENTS WHICH ARE OUTSIDE OF TULSA, OKLAHOMA incurs additional costs allowing for lodging, travel and expenses.

10. ON-SITE ENGRAVING FOR OUT-OF-STATE RETAIL PROMOTIONAL EVENTS BOOKED 20 DAYS PRIOR:

FOR EVENTS BOOKED 20 DAYS PRIOR TO THE ACTUAL EVENT, a non-refundable 80% BOOKING FEE is required at the standard rate of $ 95 per hour with a 4-hour minimum. ($ 304 pre-pay, non-refundable* deposit required for booking a 4-hour event; $ 456 non-refundable* deposit for a 6-hour event). This is in addition to travel and expenses at a rate of $120 per diem lodging expense and 32 cents per mile travel expense, plus the remaining 20% of the contracted hourly rate ($ 76 for 4 hours, $ 114 for 6 hours) that will be required COD from petty cash immediately following the store’s event. Back-toback weekend rates are negotiable at the time of booking. *** Additional time is billed in 15 minute increments @ $25.75 per 15 minutes.

11. ON-SITE ENGRAVING FOR OUT-OF-STATE RETAIL PROMOTIONAL EVENTS BOOKED 30 DAYS PRIOR

FOR EVENTS BOOKED 20 DAYS PRIOR TO THE ACTUAL EVENT, a non-refundable 50% BOOKING FEE is required at the standard rate of $ 95 per hour with a 4-hour minimum. ($ 190 pre-pay, non-refundable* deposit required for booking a 4-hour event; $ 285 non-refundable* deposit for a 6-hour event). This is in addition to travel and expenses at a rate of $ 120 per diem lodging expense and 32 cents per mile travel expense, plus the remaining 20% of the contracted hourly rate that will be required COD from petty cash immediately following each day’s event. Back-to-back weekend rates are negotiable at the time of booking. *** Additional time is billed in 15 minute increments @ $25.75 per 15 minutes

12. DOWNPAYMENT:

All orders subject to full or partial payment in advance at the discretion of Buchholz Engraving & Diadem, Inc.

13. CUSTOMER ITEMS: Items are engraved and/or altered at the customer’s requests. Price for specialty items are by quote. All items are hand-engraved and are modified without liability, including replacement value, to Buchholz Engraving or Diadem, Inc. in accordance with written instructions & pre-approval by the customer via FAX or electronic PDF. All items shipped to our studio will be inspected prior to engraving, and customer will be notified of any damaged merchandise within 24 hours upon our receipt. Absolutely no modifications will be made to merchandise that has even minor flaws without written pre-approval by the customer, confirmed by FAX or electronic PDF. Personalization & modifications will be done at engraver's discretion and we reserve the right to withdraw a submission due to flawed merchandise. Please carefully inspect merchandise before shipping to our location.

14. ENGRAVING and LETTERING:

Because this is high-speed HAND ENGRAVING, and more versatile than conventional machine fabrication, Buchholz Engraving, (aka DIADEM, Inc), allows reasonable latitude for styles and set-ups, however, we may add additional charges for specific customer requests at the discretion of Buchholz Engraving. (i.e: logos, multiple signature duplication on one item, etc.)

15. SET-UP CHARGES:

By quotation, confirmation by FAX or electronic PDF.

16. ARTWORK:

Artwork, (including signatures), provided to Buchholz Engraving by customers must be sharp and crisp, black ink on white paper. Logos and line art transmitted electronically must be in PDF form and require a resolution of 600 dpi. If not supplied with order, the charges may vary with complexity of layout. Artwork, customer signatures, or personal note duplication onto an item, must be clear, legible and correctly spelled. ITEM WILL BE ENGRAVED EXACTLY AS SUBMITTED. Buchholz Engraving cannot be held responsible for illegible artwork or misspelled words. We will make every effort BEFORE engraving item to remedy any potential confusion. and will require signature verification via FAX or EMAIL PDF format, before any work is done. Items will not be engraved without client approval. All items are modified without liability, including replacement value, to Buchholz Engraving or Diadem, Inc. in accordance with written instructions & pre-approval by the customer via FAX or electronic PDF.

17. PICK-UP & DELIVERY:

AVAILABLE in the Tulsa, Oklahoma area. Call Confirmation is necessary to the Tulsa area. A $ 35 round trip charge will be assessed to your order, and prepayment is required at the time of pickup. This cost can be deferred through direct delivery & pick up at our location our studio by appointment only.
